PARIS Update CY2012 Planning - Monday, August 15, 2011

1. A New service approach type of “Early Intervention” has been added

a.       Any existing service approaches from a copied workplan that should be classified as “Early Intervention” will be converted automatically when copying  workplan – this includes the Model Programs Teen Intervene and BASICS, as well as the SSA DUI/AAP Service Activity.  

2. FTE and Staff Credentialing have been split into separate screens and has been moved to the PIN Page rather than the Service Approach Pages 


PARIS Updates - Friday, February 05, 2010

For the Assessment and Discharge search pages, you now have three search options.   1) Active Participants, 2) All Participants within the WP, 3) All participants regardless of the WP year.  You also have the ability to pick a “Sort By” option that will be applied to the results.

 

PRU Status is now a choice when running reports – it will allow you to look at all PRUs, only Active PRUs, or only Inactive PRUs.   The default selection is for only the Active PRUs. 

PARIS Update - Wednesday, April 01, 2009
  • FTE page – Added a new % column so that it calculates the percentage of FTE as it is being entered. 
  • FTE Validation Rules – rules have been implemented that the FTE entered must match with a Service Approach. A check has been added that if a workplan was submitted prior to this being implemented, the LGU or FO can still act on it.
  • SSA – Labels have been updated to “Expected Total Participants Per Occurrence” – this is on the workplan report and the WP Development Screen.
  • SSA Description Box – added a field counter and does not allow to type past the limit of the field.

    PARIS Update - Wednesday, April 01, 2009
  • Needs Assessment Method – updated the “Error” message to include that you must specify what the “other” is in the note field.  
  • Workplan Approval Notes feature – added a new button on the WP Approval page called “Workplan Review Summary” – it is only active when a workplan is in a status that the LGU or FO can act on.   This button will take you to a new screen that allows you to add detailed notes to the workplan. The WP History Report has been updated to include a “Workplan Review Summary” section that shows these new notes.  The additional notes also display on the “Workplan Status Detail” report.   
  • Functionality was added so that PRUs can be flagged as being not permitted to copy their previous workplans.    

      


  • PARIS Program Update - Thursday, March 19, 2009
    The following Model Program: "Staying Connected with Your Teen (SCT) (formerly Parent's Who Care), has been added to PARIS. 

    PARIS Update - Thursday, March 12, 2009
  • A column was added to the data collection grids called "Workplan".  This column will determine if the session was part of the Workplan or not.  If a Yes is represented, the session was specified in the Workplan.  If a No is represented, the session is a non-Workplan session.
  • The Delete button under Single Session Activities (Data Collection) now removes only the details to a Workplan-specified session.  Previously, the Delete button removed the session completely. If the session is a non-Workplan session, the Delete button will remove the session completely.

    NY PARIS User Manual and Searchable Index have been updated with new Environmental Data Collection instructions for 2009 Workplans.

  • Enviornmental Data Collection - The delete button has been removed.
  • When a PIN is renamed the Target Populations associated with that PIN are also renamed. This will not update the local Target Population description.

    PARIS Updates - Thursday, October 02, 2008
  • The State, FO, and LGU levels can now access "Archived" Workplans in read only mode.
  • WP Environmental - No longer able to enter data in the "other" field unless "Other" is selected.
  • DC Single Continuing Initiation - Can now decrease the number of sessions while doing the initiation. Once initiation is complete the number cannot be decreased.

  • Calendar Year 2009 is now available
  • Environmental Service Approach - New changes have been implemented.
  • Single Session Continuing - "Add New" feature has been updated with new screen shots and instructions.
  • Coalition and Gambling options have been added when creating a PIN


    The PARIS User Manual was updated to reflect these changes. 


  • PARIS update - Wednesday, July 16, 2008
  • Read Only account access for FO and LGU.   To access this feature, each FO/LGU will need to add a staff account with a Permission level that is set to Read Only.   They will then be able to login using that account and see a read only view of their provider’s data collection.
  • Recurring Session Delivery – the delete button no longer removes the entire session, just resets the details to blanks.
  • As of July 16th (Wednesday) – data collection for CY2007 will be cut off.    CY2007 workplans will be moved to the Archived Screen and no more data may be added to them.    Providers can still access their data collection in a read only capacity.

    New age group breakdowns have been added in Data Collection to the Recurring Initiation and  Single Continuing Initiation screens. These changes include:

  • Splitting the 5 to 11 age group into 5 to 9 and 10 to 11
  • Splitting the 25 to 44 age group into 25 to 29 and 30 to 44
  • Splitting the 45 to 64 age group into 45 to 55 and 56 to 64

    Paris Updates - Monday, March 10, 2008
  • The “Add Draft” button will be available for the NYC providers so they can begin their 2008-2009 workplans
  • Counseling Participant – zero to 4 year olds will now be available in the age drop down box
  • On the NA Results and the TP page – Race/Ethnicity box will be split into two separate boxes.    “Universal” will be an option for both boxes – the default will be Universal Ethnicity and Universal Race.    They can then uncheck this and pick specific Races or Ethnicities they would like to target.
  • User manual updated to show new Race/Ethnicity fields.

  • Demographic changes – The Race and Ethnicity categories have been seperated in Recurring Initiation and Single Continuing Initiation.
  • On the service approach pages – any labels that said “Start Date” or "End Date" were changed to “Start Month” and "End Month".  
  • Emails sent concerning revisions will now include the notes entered by providers.

    The report module label for "Data Collection" has been changed to "Activity Reports".  

    Service Approach - Prevention Counseling - Wednesday, December 12, 2007
    A start date and end date must be selected when adding a Prevention Counseling service approach. 

    Reports - Monday, December 03, 2007
  • Two new Compliance reports have been added under the management tab.  
  • Both Reports are updated every 24 hours
  • Compliance Summary – this report looks to see if there was any data collection done for a month. Compliance Summary by Service Approach --    The report looks at individual service approaches (with expanders to go down to more detail).    This report does look at the workplan begin/end dates so we are only looking for data in the months that were planned.

    Data Collection - Single Continuing Activity(ies) Delivery - Thursday, October 18, 2007

    Single Continuing Activity(ies) Delivery – Data Collection now functions like Recurring Programs Delivery.

    The PARIS User Manual has been updated to reflect the change. 

    Single Session Activities (Data Collection) - Wednesday, October 03, 2007

    When entering your Single Session Activities, the Activity Code dropdown list has been limited to show only those activity codes selected within your Workplan. 

    If you need to add a Single Session Activity that was not specified within your Workplan, click the Add New button.  You will then specify which Target Population and Activity Code was used.

    The PARIS User Manual was updated to show these changes.

    Workplan Statuses - Friday, September 07, 2007
    The word "DEV" that was placed in front of the status has been removed (i.e., "DEV State Approved" is now "State Approved") 

    New PARIS Changes - Friday, August 31, 2007
  • The Workplan Statuses have changed to display whether your workplan is in the Development stage (DEV) or a Revision stage (REV).
  • When a provider needs to revise their Workplan, they no longer have to request a revision.  A Revise button has been added to State Approved Workplans.  Additional information can be found within the User Manual.
  • The User Manual has been updated to reflect all new changes that are in PARIS.  See Manual for a list of the updates.
  •  

    New PARIS Changes - Friday, August 03, 2007
  • A search feature has been added to the Home screen to separate the Accepted/"Draft" Workplans vs. the Archived Workplans. 
  • Providers are now able to add a "draft" of their Workplan for the upcoming planning year by clicking the Add Draft for Next Planning Year button.  For additional details, see the User Manual.
  • The previous Workplan Logic Model (i.e., PIN/Needs Assessment information could not be edited or deleted until all Service Approaches and Target Populations were deleted) has been removed for the upcoming planning year.
  • A Validate Workplan Logic Model button has been added to the PIN Inventory screen in order to validate the Workplan "draft" before submitting it for approval.  For additional details, see the User Manual.
  • The User Manual, Workbook and Searchable Index have been updated to reflect all new changes that are in PARIS.  See Manual for a list of the updates.

    New Updates - Friday, June 22, 2007
  • Previously, if a parameter to generate a report such as Provider, PRU, etc. could not be defaulted to a specific value, it was left blank and you had to choose a value from the drop-down list. These parameters are now defaulted to ‘All’
  • Previously, if a ‘custom’ school group was chosen as a Geo-Type for a Counseling Service Approach, a Street Address needed to be entered for the school building when doing data collection. This was changed and the address can no longer be entered. NOTE: A custom Geo-Type should only be used in very special circumstances when setting up a service approach in your workplan.

    Update and New Addition - Thursday, June 14, 2007
  • The ability for users to search Single Session Data Collection activities by a date range, to facilitate easier look-up of previously entered data has been added to PARIS. For instructions, see the User Manual
  • The limitation of three (3) additional class/groups added to a Model/Non-Model service approach while in Data Collection has been removed.  Users are now allowed unlimited class/group additions per Target Population.

    Label Changes for Prevention Counseling Assessment and Discharge - Wednesday, June 13, 2007
  • The labels choices for displaying the participants on the “Assessment for Prevention Counseling” page have been changed to:
    • View Active Assessments
    • View All Assessment (formerly referred to as Assessment History).
  • The labels choices for displaying the participants on the “Discharge for Prevention Counseling” page have been changed to:
    • View Active Admissions
    • View Discharge History (formerly referred to as Admission History). 

  • "Other" Discharge Reason - Wednesday, June 13, 2007
    "Other” has been removed as a valid reason for Discharge.  This change was coordinated with OASAS and users who had previously entered “Other” as their Discharge Reason have had their records remapped to the remaining valid reasons. 

    Contact Support (HelpDesk) Change - Tuesday, May 29, 2007

    Additions and Updates - Friday, May 25, 2007
  • Corrections and improvements to the Fidelity Check tool for model programs.  The “skip” function is now correctly working for all questions, and the header information now correctly displays the name of Class/Group.
  • The bug in Recurring Monthly Data Collection that was preventing users with more than 10 sessions from navigating to Page 2 and beyond has been corrected.  I have verified that this is functioning properly for all reported cases where users were unable to see & enter data beyond the 10th session.
  • The ability to “void” a previously completed Counseling Assessment Disposition or Discharge record.  For detailed information, please see the User Manual (This is a link to the instructions for the Void button regarding Assessments.  Discharge instructions are very similar and can be found in the User Manual.)

    • Users may now enter Re-Assessments for individuals who have had a Disposition entered or a Discharge entered, if admitted
    • A "Check Availability" button has been added to allow users to verify if a participant ID has already been entered

      A Workplan in Revision status can now add new PINs. 

      Contact Support and Spring Statewide Implementation Trainings - Thursday, March 01, 2007
      The Contact Support page has been changed due to the upcoming spring Statewide Implementation trainings that begin March 2007.  A new field was added to the Contact page to differentiate between the Fall trainings and the upcoming Spring trainings.  More information is available on the Contact Support page. 

      Workplan Revision Clarification - Wednesday, February 28, 2007
      When a Workplan RevisionRequest is approved by the Field Office, two Workplans appear on the Home screen.  One is the original Workplan that was submitted and approved by the state before a revision was requested.  The other is the Workplan that changes will be made to.  Originally, the status of both stated "Revision".  This has been changed so that the original Workplan status now reads "Archived". 

      Prevention Counseling Service Approach Locations - Friday, February 16, 2007

      Users are now able to designate multiple, different locations for a single instance of Prevention Counseling within one Performance Target in their Workplan.

      For school-based PINs ONLY, users are able to additionally specify a number of "Undetermined Locations" (unknown locations).  The Location will then have to be specified in Data Collection. 

      "CEO" Role - Monday, February 12, 2007
      The title of the "CEO" role has been changed to "Prevention Director". 

      PARIS Updates/Bug Fixes - Monday, February 12, 2007
    • Workplan Approval - At the LGU level & above, when a specific provider is selected from the provider dropdown list and the user clicks the Search button, no results were returned.  This has been fixed.
    • Prevention Counseling Assessment - The following fields were removed: Last 4 digits of SSN, Last 2 letters of Last Name, and DOB (Date of Birth)
    • Prevention Counseling Assessment - The following fields have been added: Age, Grade, and Referral Type (must select a Referral Type if "Referred within..." or "Referred outside..." are selected as the Disposition type).
      *Note: If assessments were entered prior to this change, it is suggested that you edit the existing assessment and select the Age and Grade of the participant.
    • Forgot Your Login? - A new feature has been added to the login screen allowing users to request their login information (UserID and/or Password) if forgotton. See the User Manual for details.
    • Prevention Counseling Discharge - Only those assessments marked as "Admitted..." will be available within the Discharge screen.

      Users may add additional sessions to an existing Single-Continuing Activity by editing the # of sessions under Single-Continuing Initiation.  However, if a new Single-Continuing Activity needs added, a Workplan Revision will have to be requested. 


      Submit Approval Confirmation - Friday, January 26, 2007
      A new message has been added when submitting your Workplan for approval.  Once you click the submit button in the Submit Workplan screen, a message will appear asking if you are sure (if your Workplan is complete).  Click OK and you will then receive a confirmation message stating your Workplan has been submitted for approval.  For added assurance, your PRU will be highlighted on the Workplan Approval landing screen so that you are able to view the Workplan Status has changed. 

      Feeder Forms - Friday, January 19, 2007
      The Feeder Forms are now available in a Microsoft Word document on the Support Site.  Click 'Feeder Forms' from the Support Site Menu. 

      Single Session Activity Session Length - Thursday, January 18, 2007
      A Length field has been added to the Single Session Activity Data Collection screen to allow users to specify the length of an activity.  Once saved, the length will appear on the Listing screen for easier recognition.

      An Activity Name field has been added to the Single Session Activity service approach screen (under Workplan Development and Data Collection) to allow users to identify their Single Session activities more specifically.  Once saved, the Activity Name will appear on the Listing screen for easier recognition.

      Feeder Forms - Friday, January 05, 2007
      Feeder forms are now available within PARIS in the Knowledge Base module.  The use of these forms is optional.

      To access the Feeder forms, click Knowledge Base from the main menu.  Then, select PARIS Feeder Forms from the Knowledge Base Listing screen.

      The Explanation field in the Target Population module has been increased to 4000 characters. 

      Workplan View Report - Friday, October 27, 2006
      The Workplan View Report has changed. When viewing the Workplan View Report, the report will have a new, cleaner look. Also, there are now more format options to download the report.  

      Locality Limitation - Friday, October 27, 2006
      Some providers will not be able to select the GEO Area, "Locality", as an option in PIN Inventory. These providers will have to select one of the other available options from the dropdown list. 

      Multiple Selector boxes - Friday, October 27, 2006
      The multiple selector boxes (i.e., Available Participants in Focus Group; Age/Grade, Race/Ethnicity, Risk and Protective Factors in Results and Target Population; and Other Impactors in Environmental and Single Session Service Approaches) have changed to allow the user to select more than one option at a time. 

      Notes field in Needs Assessment Methods - Wednesday, October 11, 2006
      The Notes field in the Needs Assessment Methods module (all 4 methods) has been increased to 3000 characters.  

      Permission Levels - Monday, October 02, 2006
      The permission levels for PARIS have changed to the following:

      a. Admin permissions should be given to the staff member that is acting as the administrator to PARIS. The administrator is able to add and edit staff into PARIS and DOES NOT have access to Workplan Development or data collection.

      b. CEO permissions should be given to the staff member that will be submitting Workplans for approval or requesting Workplan Revisions.

      c. Program Contact permissions should be given to the staff member that will be entering the Workplan Development and data collection.

      d. Data Entry Staff permissions should be given to staff members that log onto PARIS and enter data collection.

      e. Read Only permissions should be given to staff members that provide prevention services but may not do data entry. Staff members with Read Only access will only be able to view data within PARIS.
