The FL PBPS User Manual has been updated to reflect the recent changes within the FL PBPS application. 

The FL FTP (Upload) Manual has been updated. 

The newly designed Florida Prevention Service is now available for data entry.  This new integrated prevention system will include the data collection from the traditional prevention providers as well as the County Coalitions. 

The FL PPT User Manual and searchable index have been updated. 

PEIs are no longer required as a method of evaluation as of July 1, 2009.

The PPT is now available for data entry. The following changes have taken place within the PPT:

• Now allows users to start one program then go back and start a new program.  You no longer have to complete all programs before moving on to the next section of the PPT.
• Can change the number of programs or contracts specified on the Program page
• A "check all" button was added to the demographics section of the Program page
• A new question was added to the Contract Info page, "Is this a PPG Contract?" - if this is a yes, once approved the state will be prompted for a Grant Agreement Number rather than a Contract Number
• Approved PPTs from last year will be copied to this year so users can use it as a base for their new PPT
 

Invoice Support reports – all three – some formatting changes were done to separate the newly added adult/children split.  The funding source is again showing up on this report (It was missing for awhile).

Fact Sheet – removed the date range from the interface as the report is run YTD.  Relabeled some columns from feedback from the state.

 

Quarterly Prevention Evaluation Field Assessment Report – this has been updated to correct a few problems.  Also – we added some footnotes that specify that the data is updated once every 24 hours for the served information and the PEI information is updated once a month.   Removed the date range selection from the interface as the report is run YTD

PEI Analysis – this has been opened up to another batch of providers (probably 20 more) – they are going to review and probably open it up to the entire state in the next few weeks.  If an organization requests access to this report – tell them to contact their field evaluator and ask them to open the report for them.  UM is controlling the access on this report right now.   We also added some text to the screen for the PEI report that gives some direction on the drop down boxes

 

The FL PBPS user manual and FL PPT manual have both been updated with a new look.

Reports Manual and Data Dictionary have been updated.

The FL State Reports Manual has been updated.

The "How To" FTP guide has been updated.

 

The following videos have been updated for the PPT. Contract info, Cost info, Participants, Programs and Prevention Services. 

When a user is logged into the application they can now access the PPD Cost Info screen and add, edit or delete.

All user editable textboxes in the Cost Details section are now required to be greater than zero. Applies to both Cost Center 16 and Cost Center 17.

 

The History grid is shown at the same times for the Univ. of Miami users as it is for the regular state users. The only difference is that the Univ. users only see the Time Stamp and Notes columns.

There is now a check to prevent a contract from being approved that contains a program name that is used more than once within the organization.

If an error occurs while transferring PPT data and error message will now be displayed to the user.

The Hours/Study Group fields are calculated differently. If a program is chosen, it is the sum of all hours for the program. If only a contract is chosen it sums all hours for all programs in the contract. If no program is chosen, it sums at the organization level.

 

Fiscal year dropdown list is now dynamic based on the current application you are logged into (2007-2008 or 2008-2009 etc). 

When a user does not have access to the Transfer Groups page but clicks the link they are given a standard "You have no permissions to access this page." message.

When adding, editing or copying a program, the program name cannot already be in user by another program within the same organization. 

The PPT (Program Planning Tool) and 2008-2009 application are now available for data entry.  Please keep in mind that the PPT must be completed, submitted, and approved from the 2007-2008 application before entering your 2008-2009 services.

• You are no longer able to add/edit/delete a program. Programs will be added in the PPT Module.

Level 2 Programs with a funding source that is Adult based can no longer use CC17, you will need to select CC16 from the dropdown.

The Cost Center 17 report will not double count units anymore.

When services are added to a group, the group will no longer automatically be set to Inactive.

Evaluator Page for the University of Miami now shows entries from the 2005-2006 fiscal year. 

The Cost Center 16 Report has been fixed. It will no longer show a zero service count for every event even though there is attendance. (Level 2). The count will be whatever the "truecount" is, based on attendance. 

SAMSHA science-evidenced based programs have been updated. 

The default for Position 112, Arrest has changed from Null to 0 on the Initial Outcome table. 

The Invoice Support Report has been fixed, it will no longer default to July, and you will be able to view all reports in the dropdown. 

The following field has been added to the Staff Service Hours table in position 75: ContractNo. This field is an optional. However, those providers that are doing Level 1 Prevention services and having multiple contracts must populate this field to ensure their staff name is correct. 

The following field has been added to the Initial Outcome table in position 184: MHDiagnose. 

The default for Position 102, Discharge Reason (DREASON), has changed from 01 to 10 on the Discharge Outcome table. 01 is for Treatment; 10 is for Prevention/Intervention. 

Contractor NPI (ContNPI and Service Provider NPI (ServNPI) fields have been added to the Non-Client Specific Service Event file.( The FTP has been updated to show the change). 

The YTD Total was added to all reports.

For CC16 - We removed Level 1 Prevention Services - only Level 1 Programs show up on this report.

Added a new CC16 Report that details Prevention Services. 

The Group Completed check box and instructions were added to Level 1 Program Activity Details, and Level 2 Details.
